About the Position

As part of a well-established team of professionals you will provide high level, confidential executive support to senior executive staff and other senior officers within the portfolio. This includes developing and managing effective administrative systems and processes to support the various functions of the portfolio in an efficient and professional manner. As the interface between key stakeholders and the General Manager, the position incumbent will also facilitate the delivery of compliance and customer-focused outcomes in a demanding and fast-paced environment. 

You will manage and coordinate the daily functions of the office of the General Manager as well as senior executive diaries, including coordination of meetings with multiple internal and external stakeholders to deliver customer-focused services in a demanding and fast-paced environment. Assist with the preparation and monthly review of budget activities for the office of the General Manager and other executive managers within the portfolio. 

Maintain accountability and appropriate use of information systems and maintain vigilance to comply with record keeping requirements. Forster critical working relations with Office of the Mayor and CEO and other Executive Assistants across the organisation to facilitate targeted outcomes. 

Experience and qualifications:

  • Proven experience in an Executive Assistant position
  • Demonstrated ability to perform secretariat functions for executive and/or senior level meetings
  • Ability to exercise a high degree of discretion and confidentiality
  • High level of accuracy and attention to detail including high quality proof-reading and editing skills to ensure communications and reports meet organisational standards
  • Exposure and experience using the Tech One system
  • Current C Class driver's licence
